Thank you for choosing to hire the Somerton Village Barnes Memorial Hall. The following terms and conditions apply to the hire of the Hall.
The Hall is set within the heart of the village and is well used by many different groups. It is easy for noise, music, and parking arrangements to have an adverse impact on our neighbours. We would therefore particularly ask you to respect the local community when using the Hall.
The Hall wants to continue to be a good neighbour and so could you please help by:
- Ensure the 3 doors to the outside, and the side windows are kept shut during noisy events.
- Keep Noise levels to a reasonable level – noise from from disco’s or live music can be particularly high.
- Please ensure no driveway gates are blocked by on street parking.
- When leaving late at night please be considerate to nearby houses.
The Hall has an entertainments licence and public liability insurance.The Hall also has hirers insurance cover against damage to third party property and accidental injury to third parties. Please note however that it is your responsibility to ensure that you have appropriate insurance cover for your planned activity during your hire of the Hall.
- You must make your booking directly with the Bookings Clerk.
- Cancellation
Following the booking, if for any reason you need to cancel then a nominal 10% charge will be made for the cancellation unless the cancellation occurs within 7 days before the booking, in which case the full amount remains payable.If for any reason the Hall is unavailable for hire then you will be entitled to a full refund.If possible, an alternative date will be offered.In the event of circumstances beyond our control resulting in us not being able to provide you with our services, we shall have no liability in respect of any losses or damages arising directly or indirectly from such circumstances.
- Numbers
The maximum number of people allowed to attend, including both adults and children, is 80.If the anticipated numbers are more than 50 you must notify a Committee Member beforehand.
- Cleaning
After your event, you are expected to leave the Hall in a clean and tidy condition.If you have brought out additional chairs and tables they must be returned to the store.If there are things wrong with the Hall then you must raise these immediately with a member of the Village Hall Committee.
- Damage
You are responsible for the Hall during the period of the hire.Any damage to the Hall or its contents incurred as a result of your actions, omission or default will result in a charge to cover any excess charge or uninsured loss.
- Health and Safety
The Hirer will ensure that a person will be nominated who will have responsibility for all aspects of health and safety for all persons attending the private function. This person will need to be familiar with all fire exits, evacuation procedures and positioning of fire extinguishers, fire blanket and first aid box. All accidents must be recorded in the accident record book provided.
- Equality Statement
The Village Hall Committee recognises the importance of the need to eliminate unlawful discrimination, to promote equality of opportunity and to promote good relations between all persons within the community having due regard and sensitivity to a person’s disability, sex, race, religion or belief or sexual preference, age, marital status and responsibility for dependants.
- Preparation
The period of hire should include the necessary preparation time for your event.
- Hire Charges for the Hall Per Each Session (ie morning/afternoon/evening).
- Sessions for which the Hall may be booked are:
- 8.00 am to 1.00 pm
1.00 pm to 6.00 pm
6.00 pm – 11.00 pmor other periods by arrangement.
- The Hall is not available for booking on Thursday evenings.
- All breakages to be paid for by the hirer.

Hire of chairs £10.00
Hire of tables £10.00
- Payment
Payment must be made before the event.
A deposit will be required for Private Hire of £100.00.
